Xero & customer invoices
Create one Xero invoice per shop order. Offer card payment or online banking, and update the shop when Xero records payment.
Unpaid invoices reserve physical stock. Void an unpaid invoice in Xero to release it. Stringing labour has no stock quantity. Payment and fulfilment are tracked separately in Shop Orders.
Coaching, purchases & stock accounting
Coaching income: 200 Sales. Shop income: 201 Shop Sales. Stock purchases: 631 Shop Stock on Hand. Stock sold: debit 311 Purchases - Gear & Uniform, credit 631.
New paid coaching, paid Stripe shop orders, completed supplier imports and sold stock costs create drafts for review in Xero. Approve and match payments in Xero; no customer email or payment is sent by this sync. Existing records are excluded. Order-to-sale stock and stock returns need separate review.
One-time connection setup
